Configure Google Apps Outlook 2011 Mac

Note: These instructions follow the latest version of the software noted above. For other versions, there may be some variation, but the information below should serve as a guide to get you started. To identify the version of your software, look for the About link in the software's main menu or Help menu.

  1. First, follow the steps to enable IMAP access, turn on 2-step verification, and get an application-specific password.
    Configure Google Mail for Email Software & Mobile Devices.
  2. Start Outlook 2011.
    • If this is the first time Outlook 2011 has been launched, a Welcome to Outlook window will appear. Click Add Account and then select the E-mail icon on the Add an Account window. A configuration window will open.
    • If you have used Outlook 2011 before, after launching the program, select from the main menu Outlook > Preferences > Accounts. The Accounts window will open. Click the + sign at the bottom left and select E-mail... from the drop-down menu. A configuration window will open.
  3. In the configuration window, enter your Google Mail account information:
    • In the E-mail Address field, enter your Google Mail address (e.g., NetID@umass.edu).
    • In the Password field, enter the Application Specific Password generated by Google.
    • Do not select Configure automatically.
    • In the User name field, enter your Google Mail address again (e.g., NetID@umass.edu)
    • Under Type, select IMAP from the drop-down menu.
    • For both Incoming and Outgoing servers, select Override default port and Use SSL to connect.
    • In the Incoming server fields, enter imap.googlemail.com : 993.
    • In the Outgoing server fields, enter smtp.googlemail.com : 465.
    • Click Add Account. You will return to the Accounts window.
  4. In the Accounts window, most of the fields will be automatically populated. Under Personal information, verify the following:

    • In the Account description field, enter a name for the account identifying it as your Google Mail account.
    • In the Full name field, enter your name.
      Note: This will appear in the From field of your outgoing messages.
    • The Email address field should contain your Google Mail address
      (e.g., NetID@umass.edu).
  5. Then, under Server information, verify the following:
    • The User Name field should also contain your Google Mail address
      (e.g., NetID@umass.edu).
    • The Password field should contain the Application Specific Password generated by Google.
    • The Incoming mail server fields should read imap.googlemail.com : 993. If this number is incorrect, select Override default port to unlock the field and change it.
    • The Outgoing mail server (SMTP) fields should read smtp.googlemail.com : 465. If this number is incorrect, select Override default port to unlock the field and change it.
    • Select the boxes next to Use SSL to connect for both incoming and outgoing servers. Make sure Always use secure password is selected.
    • Click More Options... to open an Outgoing server settings window. Under Authentication, select Use Incoming Server Info from the drop-down menu. Click OK. You will be brought back to the Accounts window and you can close it. All of your settings will be saved automatically.
  6. You will now see your Google Mail address listed in the Inbox. If you have more than one email account in Outlook 2011, you can set your Google Mail address as default by clicking the Gear icon at the bottom of the left menu and selecting Set as Default.
  7. To test your mail settings, use Outlook 2011 to send a message to your Google Mail address. In a few moments, the message should appear in your Outlook inbox.

Congratulations! Outlook 2011 is now configured to send and receive messages with your Google Mail account.

  • Open Outlook, then enter Preferences through the Outlook menu in the menu bar, click Accounts, and add an e-mail account through the + button at the bottom of the accounts panel. When prompted, simply enter your email address and password and configure automatically. Keep in mind that if you’re using 2-step verification, you’ll need to generate an app specific password for Outlook.

3 Things to Check to Fix the Gmail on Outlook Popup:

If you are looking to set up Gmail or G-Suite (the paid edition of Gmail) to Outlook, jump down a little bit.Gmail to Outlook Popup Fix:First off, you'll need to ensure that you've set everything up properly.

Step 1 - Enable IMAP within your Gmail

Open Gmail, click the settings gear underneath your profile, and go down to settings.

Once you're there, you'll need to click on the 'FORWARDING POP/IMAP tab

Once you're there, you'll need to to to ENABLE IMAP.By enabling IMAP in the Gmail settings, you're allowing Imap to occur. Don't use POP, IMAP is better than pop because it will intereact back and forth between the Google server and outook. THe changes you'll make in outlook will be reflected BACK in GMAIL if you use IMAP. If you choose Pop, it won't work that way and the changes you make on Outlook will NOT be sent back up to the server.After Turning on the IMAP settings in Gmail, you'll need to setup Outlook.

Step 2 - Turn On 'Enable Less-Secure Apps'

This took me a while to find, which is why I'm sharing this video and blog post, because the internet needs more posts sharing this information to make all of our outlook frustrations fizzle.

GMAIL AND G-SUIITE (The paid Gmail with your domain email) have different settings.

FOR GMAIL (The Free One):Login to Google.Click on your logo or head up at the top and click on the MY ACCOUNT button.

After clicking on that, you'll go to 'SIGNING INTO GOOGLE'

After clicking the signing into Google, you're going to click 'APPS WITH ACCOUNT ACCESS'

After clicking the Apps with account access, you're going to make sure that you've given access to 'less secure apps'

9 times out of 10, this is the culprit right here. After you allow Less secure app access, that outlook popup will stop showing up and your mystery will be sovled.BUT - WHAT IF THAT SETTING IS NOT THERE.Or What if it says 'less secure apps this setting is managed by your domain administrator'If your less secure app settings are gone OR it says that it's managed by your domain administrator, that means that you have G-Suite and not Gmail.

G-Suite setup for outlook is different than an outlook configuration for Gmail.For G-suite, you need to make those changes at the administrator level in the G-Suite account.CHANGE the Less Secure App Settings for G-suite:First, login to the gmail account that has the admin settings, and you need toThen Click the Apps dots in the upper right hand, and select the admin button:

After you click Admin, then you'll go to SECURITY

Then you'll click on Basic Settings

Under Basic Settings, toward the bottom, you'll see the solution to your problems. You can click GO To Settings for Less secure Apps

There are three settings for less secure apps in a G Suite Administrator account:

Allowing users to manage will allow each individual user to login to their GMAIL account, and allow these less secure apps to connect. Or if you force access to less secure apps for all users, you'll make everyone's account a little bit less secure, but also reduce some headaches.

To Setup Gmail on Outlook, you'll first need to:1 - Enable IMAP settings as detailed above.Log into Gmail, click the gear icon in the upper right corner, and go to settings.

Then enable the IMAP Settings under the Forwarding and Pop/IMAP

Hit save after ENABLING IMAPThen - go to outlook and Click FILE -

Click Add Account

Then you'll need to Click manual setup or additional server types

You'll then select POP IMAP email account.

Now Fill out your full name that you want displayed on emailEMAIL ADDRESS: Your full gmail or g-suite emailAccount Type: IMAP (not POP)Incoming Server: IMAP.GMAIL.COMOutgoing Server Settings: SMTP.Gmail.comLOGON INFOUsername: FULL EMAIL (some sites claim you do just the front part of the GMAIL, but we've always had to use our whole email)Password: Your Gmail PasswordREMEMBER PASSWORD must be clicked.NOW CLICK MORE SETTINGS

After you hit more settings, this popup comes. Click My outgoing server SMTP requires authentication and make it look like this image. THEN HIT ADVANCED

After Hitting Advanced, you'll see:

INCOMING: 993 and SSLOutgoing: 25 and TLSI've seen other sites say they have luck with 465 with and SSL - but this is not what we have used.WE ALWAYS USE 25 with TLS.
